Opentype Fonts - Microsoft Aptos Font Replacement

Hi,

I struggled with Microsofts Aptos font that a client used for some valuation notices. OL Connect does a font replacement when using it. I tried embedding the font in the template, CID font embedding when printing to PDF to no avail. It’s the usual Opentype that Connect always has issues with. (Even though the font is ttf with ttf outlines it has Opentype Layout)

The client for now did not mind me changing to Calibri but I want to avoid this for when a client is not so forgiving. Is there a Aptos font that works in Connect that I can’t seem to find?

Hi Sander,

Aptos is now the default font for Office 365. I can foresee a MS Word Mail Merge warrior setting up documents using the default font.

From MS Word to PDF the fonts are embedded, so I thought Connect could too. Do I inform clients that OL Connect cannot use this font?

When using this font in OL Connect (2025.1) it gets replaced with Times New Roman.

Hi @Sharne,

If you head to here replacing the “JohnDoe” then you will be able to find the aptos font. Maybe might help or might not “C:\Users\JohnDoe\AppData\Local\Microsoft\FontCache\4\CloudFonts”. Then you can import it into the designer fonts folder to use.

That is what happened to a job that I just had before posting here. Client supplied Word doc which I saved as PDF to use in Connect and the Aptos font was not replaced. I had to use Calibri for the variable data portions of the notices which the client was ok with. I will just have to inform clients that Aptos cannot be used.

Thanks for the reply, was worth a try. However the font is available for download from Microsoft. Your idea, the fonts have numbers for names (26205970649.ttf) which make it hard to use in the Connect designer should that have worked. But the font still gets substituted as Times New Roman.

Hi,

You can access the Microsoft website (https://www.microsoft.com/en-us/download/details.aspx?id=106087&msockid=15cf65ab3f5c61eb27e974813eef60c8) and download the Aptos fonts in TrueType format, install them on Windows and access them in Designer normally.

Thanks for the reply. That is what I did before posting here. The font from Microsoft is TrueType with TrueType outlines but I was under the impression that the OpenType layout was causing Connect to replace the font with Times New Roman. However OL informs me that this font wont work in OL Connect.

I created a PDF in Connect 2025.1.1 and the fonts were embedded correctly.

Can you share your template because I cannot get that font to embed with Connect 2025.1. Are you using Connect Professional or Enterprise?

The fonts have been installed on the server and workstations with Designer. I am using Connect Professional 2025.1.1

Thanks for sharing this. I did try installing the fonts on the Workflow PC but still get font replacement. I will try rebooting the PC when it is not busy and report back.

Hi Sharne,

I was able to reproduce your problem with fonts not embedded in the PDF files. To solve it I did this:

  • Select all font files, right-click, show more options and select “Install for all users”.
  • You might need to reboot workstation/server after this.

Rebooting the Workflow PC did the trick. The fonts are not been replaced anymore. Thanks.

Yes, choosing “Install for all users” when installing fonts is the best practice too. I have had a font not work in the past until I did that.
